SUMMARY OF POSITION: Under guidance of the Office Manager, the Receptionist/Administrative Clerk effectively manages and directs calls, deliveries and requests for information to the appropriate contacts/locations while serving as a positive first point-of contact for callers and visitors. Works with Internal Services Coordinator to efficiently perform various administrative functions and manage Front Desk activities.

 

KEY ESSENTIAL FUNCTIONS:

  • Establish and foster positive long-term relationships with internal customers and business partners while creating a lasting, favorable impression with external callers and visitors
  • Perform a wide variety of administrative assignments with optimal efficiency including:
    • Front desk and switchboard management,
    • Reception and forwarding of faxes/calls,
    • Connection of visitors with internal contacts,
    • Mail sorting and distribution,
    • Data processing and tracking
    • Document scanning and imaging,
    • Office supply inventory assistance and order distribution
    • Miscellaneous services such as training/meeting room set-up, food orders, etc.
    • Additional duties as assigned and/or approved by the HR Manager          

MINIMUM QUALIFICATIONS (Required except as noted):

  • Two-year degree from accredited college/university preferred; Equivalent training/experience will be considered
  • One to three years' progressive administrative or office management related work experience.
  • Construction industry experience preferred
  • Strong systems and computer skills (MS Office, etc.); Can quickly adapt to various processing/database systems
  • Key Competencies: Integrity/Trustworthy/Ability to Hold Confidences, Professionalism, Customer Focus, Positivity, Organization/Prioritization, Communication (written & verbal), Initiative, Reliability, Flexibility, Ability to Take Direction
  • Bi-lingual ability (English/Spanish) strong plus
  • Willing to complete required post-offer background and drug screening processes
